What you’ll do
CrossBoundary is recruiting an Administrative Assistant. The Administrative Assistant will provide administrative support to the South African team and operational support to the Cape Town office. The ideal candidate will be a proactive problem solver with excellent communication skills and attention to detail. We are looking for a candidate with previous experience working in an office environment, performing administrative duties, and providing support to a highly diverse team.
Your primary responsibilities will be
Answer inquiries, and create a welcoming environment
Process and direct mails, incoming packages and deliveries
Perform a range of staff and operational support activities; may serve as a liaison with other departments on administrative and operational matters
Arrange meetings and conferences, schedule interviews and appointments, and perform other duties related to maintaining one or more individual schedules, and organising catering when necessary
Make travel, lodging and visa arrangements, either directly or through travel agencies
Carry out administrative duties such as filing, typing, copying, binding, scanning etc.
Oversee and provide support for the Office Stewards in Cape Town and Johannesburg
Order, stock, and distribute office supplies
Assist in organising and supervising other office activities e.g. event planning, team lunches, etc.
Ensuring that basic facilities, such as water and air-conditioning, are well-maintained
Ensure operation of office equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques
Address employees’ queries regarding office management issues (e.g. stationery, hardware, and travel arrangements)
Anticipate the needs of others to ensure their seamless and positive experience
Liaise with third party service providers like accountants, lawyers, bank account managers to make sure all administrative and finance requirements are being met
Help with payment of any invoices due and coordinate the preparation of the office budget
Ensure new staff are onboarded and visa requirements are met and initiated

Solid working knowledge of office processes, computer software, and electronic communications tools
Qualifications
Bachelor’s Degree in a relevant field.
Fluent in English, with excellent written and verbal communication skills.
Proven experience supporting senior executives in a fast-paced, multicultural environment.
Strong organizational and time management skills, with the ability to prioritise multiple tasks seamlessly.
High level of professionalism and emotional intelligence.
Proficiency in Microsoft Office Suite, Slack, Concur, and other business tools.
