Job Description
CrossBoundary Energy is currently recruiting a full-time Administrative Assistant to facilitate the efficient operations of the DRC Office (specifically Lubumbashi and Kolwezi) by performing a variety of office management, clerical, and administrative tasks. The ideal candidate will be a proactive problem solver with excellent communication skills and attention to detail. We are looking for a candidate with previous experience working in an office environment, performing administrative duties, coordinating financial activities of a business (e.g. consolidation of invoices, management of customer accounts where applicable, etc.), and providing support to a highly diverse team. Additionally, candidates must have a solid working knowledge of office processes, computer software (including Microsoft Excel and Word), and electronic communication tools.
This role is responsible for responding to ad hoc requests, coordinating projects, and managing business tasks such as filing, copying, researching printer problems, and organizing logistics. We are seeking a highly organized and proactive Administrative Assistant with at least two years of experience to support our operations. The ideal candidate will be fluent in English, structured in their approach, and capable of independently handling administrative tasks while ensuring seamless travel arrangements in and out of the Democratic Republic of the Congo (DRC).

Required Qualifications
General Administration:
- Support the DRC operations, primarily work with the DRC Development Director and the Kamoa Delivery team to identify admin related support needs
- Greet visitors and point them in the right direction, answer inquiries, and create a welcoming environment
- Coordination and set-up of CBE local DRC office in Lubumbashi (furniture, branding, decoration, etc.)
- Serve as a liaison with other departments on essential administrative and operational matters
- Arrange meetings and conferences, schedule interviews and appointments, and perform other duties related to maintaining one or more individual schedules; make travel and lodging arrangements, either directly or through travel agencies
- Carry out administrative tasks such as filing, typing, copying, binding, scanning, etc.  
- Assist in organizing and supervise other office activities (e.g., event planning, team lunches, etc.)
- Ensure that basic facilities, such as water and heating, are well-maintained
- Ensure seamless office equipment operations by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories, evaluating new equipment, etc.
- Address employee’s queries regarding office management issues (e.g., stationery, hardware, and travel arrangements)
- Anticipate the needs of others to ensure their seamless and positive office experience
- Perform miscellaneous job-related duties as assigned
- Ensure all transactions are recorded and coded accurately in all accounting systems
- Monitor accounts to ensure payments are up to date and perform bank reconciliations
- Perform accounts analysis and reconciliations where required
- Assist with providing information to external auditors for the annual audit
- Support the DRC logistics team with administrative enquiries. This might require for example but not limited to: submitting applications at various offices for signature, providing CBE details as a consignee for small related shipments, etc.
- Process and direct inquiries and incoming packages or deliveries
- Order, stock, and distribute office supplies
- Manage all aspects of travel logistics, including accommodation and transportation for personnel traveling to and from the DRC.
- Support Visa Application where required
The ideal candidate will have the following skills and qualifications:
- Bachelor’s degree in a relevant field
- At least 2 years of related experience working in administrative services, finance, accounting, audit, or related area is required
- Excellent written and verbal communication skills
- Excellent customer service skills required
- Experience in a multinational or fast-paced environment
- Strong organizational skills that reflect an ability to perform and prioritize multiple tasks seamlessly
- Attention to detail and problem-solving skills
- Proven ability to work in a fast-paced environment and stay calm under pressure
- Solid working knowledge of office processes, computer software, and electronic communications tools
- Ability to work and communicate in English
